What is forklift rental management software?
Forklift rental management software keeps each rented unit's contract, dates, rates, billing schedule and return in one system instead of a spreadsheet. Avantix FMS does this for Malaysian forklift and MHE rental companies: you create the rental, it generates a monthly invoice schedule, counts down to the end date, reminds you before the contract is due, and records the unit coming back.
It runs in a web browser and needs no hardware on the forklifts.
Contracts
A rental contract in one form.
Pick an available unit, the customer and the dates. Avantix FMS gives the rental its reference (for example A105 / V19) and keeps everything the rental desk usually writes on paper.

Billing
The invoice schedule builds itself.
Save a rental and one row per month is created for the whole rental period, using the monthly rate. Accounts tick each row when it's collected and note who collected it.
- Rows are generated from the start date for every month of the rental
- Collected and not-collected months are visible at a glance
- Regenerating asks before it overwrites anything
- Rental amounts can be hidden from roles that shouldn't see them

Changes
Extend, return or end without losing history.
Extending a rental copies the finished period into history first. Returning it asks for the return date, puts the unit back to Available and keeps the record.
- A new unit coming back from rental becomes Ex-New Rental automatically
- Over six months is labelled Long term, otherwise Short term
- A live countdown such as “1 Month 12 Days left”
- First and second contract reminder dates, each with a stop switch
- Mar-Aug · first period, moved to history on extension
- Sep-Feb · extended 6 months
- Unit back to Available · New → Ex-New Rental

Rates
Rental and transport rates from presets.
Set rental rates once by category, fuel type and capacity, for daily, weekly, monthly, 6-month and 12-month terms. Transport rates are set per area in four tonnage brackets.
- Transport rate fills in from the unit's capacity, and stays editable
- Used and ex-rental units show a rental rate reference
- You choose which roles can see pricing
- Admin always sees prices; hidden fields are protected on the server

Can a rental be extended without losing its history?
Yes. When you extend a rental, Avantix FMS first copies the finished period into the unit's rental history, then continues the contract with the new end date.
What is the difference between short-term and long-term rentals?
A rental longer than six months is labelled Long term; anything shorter is Short term. The label shows on the rental list next to the live countdown.
How do I see which forklifts went out or came back today?
The dashboard's Units In / Out card shows today's count, with this week's count underneath. Clicking it opens the daily movement list. You can switch to weekly, month to date or last month, and filter by Sold, Rental, or On-Loan (FOC) and Demo.
Does it calculate transport charges?
You set transport rates per area in four tonnage brackets (1.5–3, 4–5, 6–7 and 8–10 tonnes). When you create a rental, the transport rate fills in from the unit's capacity, and you can still change it.
Can we print the rental contract?
Yes. Each rental has a Print contract button that uses the browser's print dialog, so you can print it or save it as a PDF.
