Each unit has one status at a time. Other is kept for older records.

Unit types and automatic IDs

New, Used, Ex-New Rental and Demo. IDs are created for you: A for new units, B for used and C for the rental fleet. Rentals add a V reference, shown as A105 / V19.

Categories and power

Forklift, reach truck, order picker, tow truck and other MHE. Diesel, LPG, petrol, electric lead-acid and electric lithium.

Full specification

Capacity, mast type, lift height, fork size, attachment, colour, chassis, engine and charger serial numbers, plus unlimited custom fields.

Step-by-step form

Add and edit units in steps, create a customer without leaving the form, and keep remarks with a photo on the unit.

Markers and views

Location and MyHIJAU markers, card or list view, and summaries you can sort and filter.

Rental management

From contract to return, with billing rows and movement reports.

Create, extend, return, end

Extending copies the finished period into history first. Returning puts the unit back to Available; a new unit becomes Ex-New Rental.

Automatic invoice schedule

One row per month of the rental, using the monthly rate. Tick each row when collected and note who collected it.

Contract details

Dates, deposit, delivery cost and date, DO number, site, vehicle and driver, monthly rate, contact person and salesperson. Print the contract.

Countdown and term

A live countdown such as “1 Month 12 Days left”. Over six months is Long term, otherwise Short term.

Movement reports

Units In / Out daily, weekly, month to date and last month, by direction and by Sold, Rental, or On-Loan (FOC) and Demo.

Rental record tabs

Contract details, customer and service during rental, on one page.

Pricing presets

Set rates once, use them everywhere, and decide who can see them.

Rental rates

By category, fuel type and capacity band, for daily, weekly, monthly, 6-month and 12-month terms.

Transport rates

By area, in four tonnage brackets: 1.5-3, 4-5, 6-7 and 8-10 tonnes. Filled in from the unit's capacity and still editable.

Rate reference

Used and ex-rental units show a rental rate reference tab.

Pricing visibility

Choose which roles see rate fields and invoice amounts. Admin always does, and hidden fields are protected on the server.

Reservations, loans and demos

Units that are out on trust, each with a clock.

Reservations

Hold a unit for a customer for 1 or 2 weeks. When it expires, the unit is released to Available and the team is notified.

On-Loan (FOC)

Lend a unit free of charge for 1 to 4 weeks or a custom period, with delivery site, contact, reason and return date.

Demo units

Send out for 1 or 2 weeks. When you end the demo, a Forklift Collection Required alert goes to the team.

Countdowns

“Days left”, “Due today” and “days overdue”, with Extend and End buttons. Past reserve and loan cycles are archived.

Service and maintenance (PMS)

Preventive maintenance, repairs and free-service packages.

Job cards

JC number, unit, customer, site, technician, hour meter, service type (Normal, Major, Repair, Tyre/Tayar), parts, labour and status.

Attachments

JPG, PNG and PDF files stay with the service record, with the original file name.

Automatic service dates

From the rental start date for rental units, or the delivery date for sold units, plus the interval you choose.

FOC packages

2, 3, 4, 5, 8 or 10 free services, or charges only. Each job is marked FOC All, Part, Labour or Charge, and the balance updates.

Due summary

Overdue, due within 7 days, 8-30 days, over 30 days and no date, plus a summary by service type.

Due and overdue

Overdue once the next service date has passed; Due Soon within 7 days.

Smart notifications

Reminders that move by themselves and open the right record.

Two bells

A general bell for every module, and a Service & Repair bell for maintenance reminders only.

Upcoming, Due, Overdue

Reminders appear seven days ahead and move from Upcoming to Due today to Overdue on their own.

Straight to the record

Clicking a notification opens that exact job card or rental.

What triggers them

Service and contract reminders, new, updated, returned and deleted records, ended reservations and demo collections.

Company details with separate sales and service contact persons, remarks and custom fields.

Total, available, on rental, sold and reserved units, customer-linked units, rental and service history, with utilisation, ready inventory, service coverage and customer allocation.

Unit detail report

Business summary, unit profile, customer and service plans, all unit details, rental history and service record history.

Filters

By unit type, status, category and search.

Print or PDF

Print reports, unit views and rental contracts, or save them as PDF from the browser.

Users and security

Access by role, down to the page and tab.

Roles and rights

Create, read, update, delete and view-report rights, set per role and adjustable per user.

Page- and tab-level access

Dashboard, units, service, rentals, MHE, users, customers, templates, configuration and version changes; plus unit tabs such as Sold, Demo or Reserve.

Checked on the server

Permissions are enforced by the server, not only hidden on screen.

History, not deletion

Deleted records are kept as history instead of being wiped.
